Photos, PDFs, spreadsheets and manual entries all go in the same way, against the right site.

Sites don’t produce tidy data. They produce dockets.

A weighbridge docket is a photo on a phone. An invoice is a PDF in an inbox. A spreadsheet turns up on a Friday. Asking site teams to retype all of it into a new system is how a platform ends up unused.

WasteX takes each of them as it is, against the right site and the right kind of activity, so the routine on site barely changes.

Every kind of record, one way in.

Whatever the activity, it ends up in the same place and in the same shape.

Upload what you already have

PDFs, spreadsheets, Word documents and photos all go in as they are. Add up to ten documents at a time and WasteX reads them in the background.

Deliveries and removals

Materials coming on to site and waste leaving it each have their own capture, with material, quantity, supplier or partner and disposal method.

Manual entry when there is no document

Record a delivery, a removal or a trip by hand, with a date, a material and an amount. Nothing stops a project because a docket went missing.

Trips, machinery, water and energy

Trips carry distance and vehicle type. Machinery hours, water and electricity are logged against the site, so the carbon figures have something to work from.

From the site gate to the project record.

The same four steps whether it’s a photo or a spreadsheet.

01

Choose the site

Records belong to a site from the start, so nothing lands in a general pile.

02

Add the documents

Drop in files or take a photo. WasteX checks each one against what is already on the project and flags a repeat.

03

WasteX reads them

Material, quantity, carrier and destination are pulled out of the document and held as lines for review.

04

Review waits for a person

Nothing counts towards a report until someone has checked it against the original.

AI helps read and classify the documents. People stay in the loop: records can be reviewed and corrected before they count towards a report.

Who uses it day to day

Site teams
Who take the photo and upload the docket, and want that to be the end of it.
Project managers
Who need records to arrive without chasing, and to see what is missing.
Subcontractors and carriers
Who can be given access to submit records for a site, and see nothing else.
Administrators
Who set up sites, teams and the partners that work on them.

Common questions

If yours isn’t here, ask us on a demo call.

PDFs, spreadsheets, Word documents and common image formats, including photos taken on a phone.

WasteX compares each upload with documents already on the project and flags a repeat before it is processed, so the same load is not counted twice.

People who only capture records can be given access to just that. They see the tasks assigned to them and nothing else.
